How do I build an invoice on the latest version of SWRemote?

A technician can add items and build the invoice in step 4 (Invoice) on their mobile device. To do this follow the steps below:

  • The tech will log-in and select the first job on their schedule and proceed putting in all the necessary information until they get to step 4, Invoice.
  • From here, technicians can scan, add items, add agreements, add visits, and add discounts.  (Depending on screen size of the device, buttons may or may not be labeled.)


Adding Items: 

The +Item button allows the tech to add an item to the invoice by tapping the Catalog button or entering Text into the search field and tapping the Search button.

  • Tap the Catalog button and they will see the main categories displayed. From there Techs can drill down into the catalog until the needed item is located.
  • Techs can also search by item #, UPC or Description. The full item # or UPC can be entered, or the first letter(s) or number to do a general search.


Enter the item # and then tap the Search button:


Tech's can search out the name of the Item by the First few letter of the Description:


Another method is to search by the full or partial UPC code:

An item may be charged to any available Agreement or Warranty.  In addition a piece of Equipment can be attached to a Task.

Adding an Agreement

The +Agree button allows the Tech to add an agreement to the invoice. The tech can select the appropriate agreement from the “Type” dropdown box. The fields for number of years, total amount, start date, and collected amount can all be updated on this screen. The agreement can also be marked ‘perpetual’ and ‘taxable.’



Adding a Visit

The +Visit button will allow a tech to add a visit to the invoice, if there are any available on active agreements. 

We've also included the ability to add visit notes! You can view them in the Customer tab, under Agreements, and when adding a visit to the invoice: 


Attaching Equipment 

When adding a Task, you can attach a piece of equipment to a Task. To do so, tap the +Equip button:

On the next screen, choose the equipment you would like to attach to this Task:

Next, tap Close:

Now you will need to tap the next Close button you see.

You will now return the Invoice screen. You will notice that the task has a tag icon, indicating that the task has a piece of Equipment attached to it.


Adding a Discount 

The Discount button will allow the tech to determine a discount either by type, percentage, or amount. If no discount is applicable the tech can select none. 



Removing a line item

There are two ways to remove a line item from the invoice that was previously added. The technician can press on the red X button. 

Or tap on the item to open it and inside of the Edit Invoice Item screen. There is a red delete button at the bottom of the page.

Suggested Work

You can now add an Item to the Work Suggested notes as Declined work by first tapping the red box with the X, and then by tapping the orange Add to Declined Work button (seen below). 

Note: This will not work for Agreements or Visits.                                

Discountable items

The Discountable checkbox can NOT be turned off by default (globally) in SuccessWare21. If you need this turned off for a particular item, Techs will need to manually un-check this box each time.
